Hobart and William Smith Colleges (the "Colleges") Athletic Communications Policies and Guidelines

This policy (the "Policy") outlines the rules governing athletic communications matters at the Colleges, including side-line access.  This Policy is subject to revision at any time by the Colleges' Office of Communications.

Media and Photo Credentials

Credentials are required for any member of the media wishing to cover Hobart or William Smith teams.  Likewise, credentials are required for any member of the media wishing to photograph, video tape, or capture footage of Hobart or William Smith teams through any other form of electronic or digital media (collectively, such credentials are hereinafter referred to as "Credentials"). Credentials are issued to working members of the media by the Athletic Communications Office for the sole purpose of providing facility access to an accredited agency's full-time salaried employee who has a legitimate working function (media or game service) in connection with Hobart or William Smith athletics. Credentials are nontransferable.

Please contact the office at least 24 hours in advance to request credentials. All Credentials will be left at the main gate for that venue unless an alternative delivery method is specified by the Colleges.

Credentials are issued at the discretion of the Athletic Communications Office and may be revoked at any time.  Media wishing to cover Hobart or William Smith teams on the road must contact the host sports information office for Credentials.

Pursuant to NCAA regulations and this Policy, the field level and/or "sideline" area is strictly reserved for players, coaches, and for those who are performing a service associated with action on the field of play and for administration of the game. Pursuant to NCAA regulations and this Policy, members of the general public are not permitted at field level or on the playing field at any time.  The Colleges reserve the right to remove from the sideline or field level any individuals not possessing a valid credential.

For the safety of student-athletes and credentialed personnel, credentialed personnel are required to keep a 12-foot buffer between themselves and the sideline at all times.

Sideline passes DO NOT grant access to team bench areas. To switch ends of the field, sideline credentialed personnel are required to walk around the team area; sideline credentialed personnel are not permitted to walk through a team area.

Further conditions placed on the Credentials and holders thereof and specific limitations regarding use of photographs and other media can be found on the back-side of the Credential.

Violation of this policy can result in game management staff issuing a warning, revoking sideline credentials, and/or ejecting violators from the venue.

Radio
Radio stations should contact the Athletic Communications Office regarding broadcast arrangements at least one week in advance. Radio personnel must also request press box passes.

Statistical Services
All media representatives will be given a copy of the contest's official program and game notes prior to the contest.

Statistics and scoring summaries will be available within 10 minutes of the game's completion. Please do not conduct interviews on the field without the prior consent of a representative of the Athletic Communications Office.

Non-Game Day Interviews
Interviews of student-athletes or coaches outside of the postgame press conference should be arranged through the Athletic Communications Office. No interviews will be granted on game day.

Photo Requests
The Athletic Communications Staff can provide high-resolution head shots for all coaches and student-athletes upon request. In most cases, hi-res action photos of student-athletes can also be provided. Please include the required dimensions and orientation (horizontal or vertical) of the photo when making your request.

Email
Releases, game notes, advisories, etc., are e-mailed to media that cover Hobart and William Smith on a regular basis. Media wishing to be added to the e-mail list for a particular sport should contact the communications representative responsible for that sport.

Press Box Services
There are multiple phone lines in the Boswell, Cozzens and McCooey fields press boxes for your convenience. All telephones take incoming and make outgoing calls. Open wireless and hard-wired Internet access also is available at most HWS athletic venues.

Visual Identities
In August of 2019, the Hobart and William Smith Athletic Departments unveiled new visual identities for the Statesmen and the Herons. The Hobart Statesmen Brand Standards Guide and the William Smith Herons Brand Standards Guide are available online. All applications of Hobart Athletics brand assets and/or William Smith Athletics brand assets must receive written approval from Zack Koons, Assistant Director of Athletic Communications and Brand Management. This includes: the development of new logos, all forms of advertising and marketing, event collateral, merchandise, web applications, audio branding elements, copywriting and photography.

Rowing Practice
Members of the public are welcome to observe a practice session from one of the coach's motorboats. If you are interested in watching a practice, please contact Head Coach Paul Bugenhagen to schedule your observation. Practice observation opportunities are dependent on the team's practice schedule and space availability.
